We are recruiting for a Coverage Coordinator for our Adult Intellectual & Developmental Disabilities (IDD) Residential Services.

Hourly Rate: $14.00 per hour

ScheduleFT (40 hrs) M-F 8AM-4PM; must be flexible to meet program needs.

General Summary

The Coverage Coordinator performs a wide variety of functions related to coordinating and scheduling various services to ensuring appropriate cost effective coverage of direct care employees in all of the residential locations.

Essential Duties and Responsibilities:

  • Coordinates with residential supervisors, the scheduling of direct support professionals.
  • Communicates with residential supervisors, the scheduling of direct support professionals at their locations.
  • Monitors staffing on a daily basis via phone, fax, and email.
  • Determines priorities and schedules direct support professionals to coverage staff shortages.
  • Trains new residential supervisors on staff coverage.
  • Documents and processes Paid Time Off requests.
  • Organizes and maintains various schedules, including documenting, updating, and logging schedules and staff availability; posting daily coverage sheets (house schedules), tracking specific request, and maintaining and updating contact information.
  • Follows up on cancellations or absent employees; makes timely changes and revisions to daily schedules.
  • Resolves urgent and immediate requests and /or discrepancies with direct support professionals and their supervisors.
  • Monitors and reduces the use of overtime when scheduling direct support professionals.
  • Travel to group locations and/or other locations to attend monthly managerial meetings and relays information pertinent to staffing.
  • Consult with program director regarding the general function of the locations i.e. staff vacancies/coverage needs, long-range concerns and special program needs.
  • Provides coverage in emergency situations.
  • Performs other duties as directed.

Required Knowledge, Skills, and Abilities:

  • Knowledge and understand of organization and operation of residential locations.
  • Knowledge of computers and Microsoft software products.
  • Knowledge and the ability to utilize good listening skills and comprehend verbal instructions given in English.
  • Ability to learn each house schedule.
  • Ability to learn scheduling/coordinating staff.
  • Ability to learn and follow the Department of Public Welfare Chapter 6400 regulations.
  • Ability to use a variety of office equipment i.e., phones, photocopiers, facsimile, and printers.
  • Ability to maintain effective working relationships with co-workers and other employees.
  • Ability to organize, prioritize and multi-task.
  • Ability to work well under pressure and meet tight deadlines.
  • Ability to perform clerical work involving judgment and accuracy.
  • Ability to work independently and make sound judgment/decisions based on company established policies and practices.
  • Ability to take initiative and follow through.
  • Ability to read and comprehend instructions written in English.
  • Ability to write legibly in English in a clear, concise, and logical manner.
  • Ability to speak clearly and express self effectively in English.

Minimum Education, Credentials, and Experience:

  • High school diploma or equivalency with one year of experience in the residential services field.

Special Requirements:

  • Must be able to work flexible hours to meet individual's and program's needs.
  • Must have a valid driver's license, good driving record, and access to a reliable vehicle to attend trainings, meetings, and/or transport individual to appointments.
  • Must have the ability to obtain clearances as defined by regulations.
